A debt-collection practice runs on volume: hundreds of files, payments in instalments and actions per debtor. Advoca keeps track of what is outstanding in each file.

This is a worked example of how a firm of this type uses Advoca. Names and figures are fictitious.

The situation

A firm that recovers unpaid invoices for a few regular instructing clients (a landlord, a hospital, a wholesaler). Per file: a principal sum, payments in instalments, formal notices and sometimes court proceedings.

How the firm uses Advoca

  1. Collection file: with the matter, the firm records the instructing client, the debtor and the type of case.
  2. Entries: every debt, payment and action (formal notice, writ of summons) becomes an entry with a date and amount. Advoca calculates the outstanding balance.
  3. Deadlines: hearings and limitation periods are recorded in the matter and in the Limitation periods report.
  4. Invoicing to the instructing client: time entries and costs are invoiced with the structured payment reference; the overview of overdue invoices shows who gets a reminder.
Advoca calculates the balance from the entries you record. You enter interest and penalty clauses as an entry; automatic interest calculation is not included (yet).
